The orders that keep showing up

Camp shirts: 100-300 youth tees with a custom design per camp week. Annual order, often four to six camps a summer. Comfort Colors 1717 is the genre standard.

Conference and conference-style event swag: tees, hats, lanyards, drawstring bags for adult conferences and youth-group retreats. 200-1,000 unit quantities, often four times a year.

Mission trip team gear: matched polos or quarter-zips for the team plus locally-needed items for the destination. Small quantity (12-30), tight timeline.

Sunday-school and small-group merchandise: branded coffee mugs, journals, study-guide kits. Lower volume, year-round.

How the procurement actually runs

A volunteer is doing this on top of a full-time job. They need a quote in one email, an art proof in two, and a ship date that does not slip. Build a portal where each ministry leader sees the items they have ordered before, and the senior pastor or executive pastor approves with one click. Net-30 is standard for the bigger churches; smaller churches pay card-on-file.

Pricing notes

Churches do not expect a discount but appreciate one. Quoting at code R or the equivalent (40% margin) buys you long-term loyalty without damaging the relationship. Volume is where the account pays - one church might order 1,500 pieces a year across all its events.
