What gets used vs what gets thrown away

Quote the in-hands date as two days before the event, not the day of the event. Build the supplier PO with a ship date that gets it to the venue with two days of buffer. The buffer absorbs UPS issues, supplier production delays, and last-minute mockup changes. Promising the day-of-event date and missing it by a day costs you the relationship; promising two-days-before and arriving three days early gets you a referral.
The follow-up that wins year two
Send a survey two days after the event with two questions: how was the swag, what would you change. The event planner who answered the survey just told you what to quote them in eleven months. Their next event is on the same calendar; reach out 90 days out with last year's order pre-built and you close in one call.
