The reorder workflow that saves 20 minutes per customer

Repeat customers are the most profitable accounts in a promo shop. The customer already knows the product, the supplier already has the art file, and the price band is settled. The work should be near-zero. For most distributors, it is not. Here is what we changed and what it gives you back.

The reorder time tax most shops pay

A customer emails: "Hi, can we reorder those navy polos with the Q1 logo, but bump it to 250 this time?" In a typical small promo shop, what happens next looks like this. You search your inbox for the original order. You find a PDF quote. You open the quote, copy the SKU, paste it into your supplier catalog to confirm pricing tiers still match. You re-type the new quantity into a fresh quote. You email the customer for approval. You wait. You re-type everything into a supplier PO. You re-attach the art file from a folder somewhere on your desktop. You email the supplier. You email the customer with an updated ETA.

Even when you are good at this, it is twenty minutes per reorder. On a shop that does forty reorders a month, that is more than a full workday a month spent re-typing data you already have.

What "one click" actually means

In DECADE.promo, every order has a Reorder button. Clicking it copies every field of the original order into a draft of the new one, including the customer, the company, the project, the SKU, the price code, the per-tier net costs, the imprint colors, the setup fee, the art file references, and the supplier. Every override you ever made on that customer-product combination is preserved.

The only thing you change is the quantity (and only if it changed). The quote regenerates against the price tiers automatically. The PO is one button. The supplier already has the art on file from last time, so the email goes out with the right SKU, the right ship-to, and the right "blind ship" instruction.

Twenty minutes becomes about ninety seconds.

Where the time actually went

The savings are not magic. They come from the data already being in one place. Because the customer's shipping address is on the customer record (not in the order email thread), it copies automatically. Because the price tiers live on the order itself (not on a quote PDF), they copy too. Because the supplier already has the art file linked to the SKU, you do not re-attach. Because the PO template knows the supplier's preferred email and net terms, you do not re-look-it-up.

Each of those is a small thing. Together they are the reason a reorder used to take twenty minutes.

The two reorder edge cases worth knowing about

Pricing has shifted. Suppliers raise costs. When a Reorder copies the original price tiers, you can edit them per-tier on the new order without touching the master product. The customer-facing list price recalculates. We keep the prior tiers visible on the original order so you have an audit trail.

Customer changed addresses. A reorder copies the original ship-to. If the customer has multiple shipping addresses on file (we support that), you switch addresses with one click. If they need a brand new address, you add it inline without leaving the order screen.

Why this matters more than it sounds

A promo distributor with 200 active customers and a 35% reorder rate is doing roughly 70 reorders a month. At twenty minutes each, that is 23 hours of re-typing every month. At ninety seconds each, that is 1.75 hours.

You get back about 20 hours a month. That is one full week of capacity, every month, that you can spend on new accounts, new products, or just not working evenings. The math does not require a spreadsheet. It is the single biggest unlock most shops do not realize they are missing.

Reorders are where the margin is. Every minute you spend re-typing data you already have is a minute you cannot spend selling. The workflow is supposed to take ninety seconds. If yours takes twenty minutes, the data is in the wrong place.
