What event planners actually need from you

Speed. Event timelines are tight. A 24-hour quote turnaround is the minimum; same-day is what wins repeat business.

Photo-quality digital mockups. Event planners pitch their clients with mockups; the better the mockup looks, the easier the planner's pitch is.

Custom packaging design. Many planners need branded packaging assembled to event specs - blind-shipped to the venue, packed to a count per box, with insert cards already inside.

Order coordination. Most events have multiple SKUs (welcome bag, speaker gift, sponsor tier swag). One PO covering all of it with itemized invoicing makes the planner look organized to their client.

How event planners pay

Most planners bill their clients before paying you. That puts the planner in a cash-flow squeeze. Net-30 from planners is rare; many work on a 50% deposit / 50% on delivery model. Some larger production companies keep house accounts on net-30 once they prove out.

Markup is typical. Planners mark merch up 20-50% to their clients. Quote at a wholesale price that lets the planner hit their target.

How to set the account up

The lead planner or producer is the buyer; the production manager is the executor. Build a portal scoped per-event so each event has its own SKU set, mockups, and approvals. Multi-customer the account so the planner sees the rollup across all events. Blind-shipping addresses (always to the venue, not the planner's office) need to be the default.

An event planner relationship is the multiplier of all multipliers. One event planner books 10-30 events a year and every event is another order. Make the planner look good in their client pitches and you become their sole-source vendor.
