Promotional products for higher education

A university is not one customer; it is a collection of forty offices that each have a budget. The athletic department, the alumni association, the residential life office, the career services center, the dean of students, individual academic departments. Each has its own buyer, its own license requirements, and its own seasonal calendar.

The licensing fact every distributor has to know

Universities license their marks. To put a Ohio State logo on a T-shirt for resale or distribution at scale, you need to be a licensed vendor through CLC (or whichever licensing body the school uses). Internal-use merchandise (an office's own branded order, not for sale) sometimes has a lighter approval path. Ask before you quote. A quote that violates the license is a relationship-ender.

The three customer lanes

Athletics and alumni: the high-volume, brand-licensed lane. Gameday giveaways, alumni-event merch, athletic team swag. Often handled by an in-house licensing office.

Departmental: lower volume, internal use, lighter approval. Engineering school t-shirts for an open house, business school folders for new admits. Decisions made at the department level, often without licensing-office involvement for internal-use items.

Student affairs: orientation week, residence hall events, mental-health awareness merchandise. Mid-volume, often grant-funded, with a fiscal-year deadline that creates a spend-it-or-lose-it pattern in late spring.

The procurement workflow

Most universities require a vendor onboarding (W-9, COI, sometimes a state-specific tax form) before you can be paid. Get this done with the procurement office once and the next forty orders flow without friction. Net-30 is standard. Some require P-card payment for orders under a threshold.
