DECADE.promo and QuickBooks
QuickBooks is what your accountant uses. DECADE.promo is what you use during the day to run the shop. The two should overlap as little as possible. Operations data lives in DECADE.promo; financial reporting lives in QuickBooks; the handoff is sales receipts, supplier bills, and a periodic export.
What flows from DECADE.promo to QuickBooks
Paid invoices become QuickBooks sales receipts (or invoices, depending on your accounting basis). Stripe pays out to your bank; QuickBooks Bank Feed picks up the payouts and matches them against the receipts. Supplier POs become QuickBooks bills payable when you receive a supplier invoice (the bill matches the PO; you reconcile and pay).
What stays in DECADE.promo
Customer relationship details, project notes, art files, supplier history, mockups, sales decks, lead pipeline. Your accountant does not need any of this. QuickBooks does not benefit from carrying it.
The reconciliation cadence
Weekly: bank feed reconciliation in QuickBooks (15 minutes). Monthly: P&L review with your accountant or yourself (30 minutes). Quarterly: a deeper data-quality pass on customers, suppliers, and aging invoices (an hour). The total accounting overhead is a few hours a month, not a few hours a week.
